In AVAIL How Do I... Quote to Word

Make Changes to Word Quote.

This procedure must be done on a PC running the Theos Workstation client. The first step is to merge one work order to Word by taking the print work order option at the end of updating an order, on the shipping menu or in order review. You will need to select F7 to merge to word.

Once the document is loaded on windows you can exit from it and discard any changes. You will now have a document named AVQUOTE.DOC in the directory c:/temp Go to this directory in windows and doubleclick the AVQUOTE.DOC file to load it into Word. Make any changes you like to the document; please refer to the guide for a description of all the merge fields. When you are finished save the document as AVQUOTE.DOC

The next step is to transfer the document back to Theos using the Workstation client. While at the AVAIL main menu click the drop down menu in the Workstation client labeled Session and select Transfer. The top half of the window that opens is the Windows side, the bottom half is Theos. Navigate on the windows side to c:\temp and select AVQUOTE.DOC, now click the transfer button and then the OK button, if prompted click Replace to overwrite the old quote file.

Your quote is now updated and will be used the next time you do a merge to word in AVAIL.


Use a Coversheet.

In order to use a coversheet or a partial coversheet, (where there is more room for equipment on pages greater than the first), you will need to download a new set of macros, from here. In order to install these macros you will need to unzip them, and remove the old macros. It's a good idea to unzip them to c:\temp because this is where we will be working. Once unziped, you should have a file called quote.bas, these are the macros we will be importing. You will need to do one merge to Word to be sure that we are working with the most current version of the Word document. Once you have done that, navigate in Windows to c:\temp, if you haven't already. There you will see the AVQUOTE.DOC document which you can double-click to open. Use the drop down menu in Word to go to Tools -> Macros which will bring up the list of macros for this document, and any that are loaded by default in Word. Click once on the macro called mpq1 and click Edit, this will bring you into the macro editor. On the left side you will see the project window, and under Modules, the macros "NewMacros". Right click on this and choose Remove. You do not need to save or export the macros when asked. Once these are removed, right click on Modules and choose import file. Import the file quote.bas and that will bring in the new macros. You can use these macros if you decide you want to use a coversheet or not. In order to make the coversheet work, copy the file AVQUOTE.DOC to AVQ_Q.DOC in windows. AVQUOTE.DOC is your coversheet and AVQ_Q.DOC is every page thereafter. Once you make the necessary changes to each document, simply follow the steps outlined at the top of this page and transfer them back down to THEOS. Once this is done Word will automatically load your coversheet each time.


Align Totals Correctly in Word.

To align the totals correctly you will need to make sure that the tables toolbar is on in word (right click on the area close to the top menu of word) and click on the Tables toolbar, you can drag it to where- ever you wish. Load the AVQUOTE.DOC document if you haven't allready and use your mouse and right select all the totals in the bottom of the document. On the tables toobar click the bottom alignment button, the third of three buttons that displays text layout (this may be different depending on your version of word), and you'll notice that all of the totals will align themselves to the bottom of each table cell. Save the document and transfer it back down to THEOS.
