What is the To Do List in AVAIL? Return to Top
The To Do List is a new feature of AVAIL. It is accessed by pressing F4
on the main menu.
The To Do List allows you to enter items that need to be done, assign a
priority, date to be done by and notes if needed.
They can also be grouped so that only one group displays or all groups.
The list will then be presented in priority and date order. Items that
are marked as done can be hidden or displayed.
You can also move items from your To Do List to another persons To Do List.

Before you can use a To Do List you have to create it.
From the Main Menu take the option for Record Keeping Menu and the option
D for System Operator Menu. Then take option D and then option 5 Create
To Do List.
Enter the name or initials that are on the main menu and press enter.
Return to the main menu and press F4. This will display a blank To Do List.

The first column in the To Do List is Done. If you have completed an item
place an X in the Done column. When items are marked as done they will not
display on the To Do List the next time you come into it if the list is set
to hide done. If you want to see all the Done item press F3 to change to
the display that shows all the Done items. Press F3 again and it will hide
them. The mode you are in when you exit the To Do List is the mode it will
be in when you return.
The next column is the Priority column. This allows you to rank the items
from 1 to 9 with 1 being the highest priority. This field and the date
field are used to order the items on your To Do List.
The next column is the description of the to do item.
The next column is the Due By column, you can enter a date or leave it
blank. You can also press shift F2 to open a calendar.
The next column is the Group column, this allows you to place like items
into different groups.
If you press F4-Chg Grp it will allow you to change the display so only
items in that group are displayed. This mode will be retained so when you
return to the To Do List the group last selected will be the group displayed.
The last column will display a Y if there are any notes for this to do item.
Press F8 on a to do line to add or remove notes.
The function key do the following:
F1 & F2 return to the main menu.
F3 changes from hide done to show done. This is retained when you leave.
F4 change group. If you enter a group that is all that will be displayed
if you leave the group blank, all groups will be displayed. This is retained
when you leave.
F5 change list. This will allow you to change to another To Do List. If
the new list has a password and you do not know the password, you can still
add items to a To Do List, you just can't see what is already on the list.
F5 also allows you to delete items. You can specify only Done items or all
items older than an entered date.
You can also change items from your list to another list with F5 and add or
change your password.

F8 allows you to add notes to any To Do item. If you add notes then a Y will
appear in the note column for that line.
F9 allows you to add new items to the list. It takes you to the bottom of the
list, but items will be displayed in priority/date order.
Items that then date has passed and are not marked as done will be displayed
in yellow. Items that have todays date and are not marked as done will be
displayed in green.
When you enter AVAIL each day, if any item on your To Do List has todays date
or older you will get a check To Do message on the main menu of AVAIL.
How do I create recurring events? Return to Top
You can configure events so that when they are marked as done they will appear
on the To Do list with a new date.
You first have to turn on this feature, press F5-Change List, then take F4-Change Password.
Press enter to the password question and then answer Y to the question about
recurring events.
With this feature turned on when you enter an event, if you enter a due date
a question will ask if you want this event to recur. Enter N if no, D for
each day, W for each week, M for each month or a number of days between
events. If you enter M you can not enter a due date that will not appear in
every month.
Now if you mark an event as done and it was set to recur each day a new event
for the next day will pop up. The next due date will be figured from the
original due date, not the date you marked it as done if they are not the
same.
After entering the recurring events that you need, you may turn off the option
so the question does not get asked each time you enter a normal event. Once
an event is set as recurring it will still recur even if the option has been
turned off.
