You can add room names to a customer account in AVAIL. This will allow you to use shift F2 on the ship to field and get a list of the rooms to select from. You can also use shift F2 on the equipment page to select rooms and on the tech page in the location field.

On the system operator menu option 9 is the Shift F2 Menu, option 7 on that menu allows you to assign rooms or venues to a customer account number. You can also assign a standard package to rooms, if there is equipment installed in that room then each time you select that room all that equipment will be brought into the order.

There are 4 classes that deal with breakout dates, times and rooms. Each line will have 0000 as the category and 1 as the qty.

If you enter a class of DATE when you press enter it will change to CBD (comment bold date), in the desc field you can type in a date or use shift F2 to select from a calendar.

If you enter a class of ROOM when you press enter it will change to CBR (comment bold room), in the desc field you can type in a room or use shift F2 to select rooms that you setup for this customer.

If you enter a class of TIME when you press enter it will change to CBT (comment bold time), in the desc field enter the time to set this room.

If you enter a class of CLEAR or STRIK when you press enter it will change to CDZ (comment do not show clear), in the desc field you can type in a time to strike the above equipment. This line will not show on the quote and invoice. If you want the strike time to show enter a CBZ instead.

You could enter a date on one line, then the room on the next, then the time to set this room. Then list all the equipment, next enter the time that the room should be cleared. Then enter the next room and time if its on the same date.

If a room is to span several days, on the date line put the first date then a dash (-) and then the last date. This will cause it to appear on the sets and clears for each date, but only reserve the equipment once. If you want the room cleared each day, at the bottom of the equipment put a CBZ line with the desc as the time to strike. But if you want the equipment to stay in that room until the last day then put the last date and time on the strike line. This will show on the sets and clears that this room is to stay set.

To see all the breakout rooms per day on the daily sets and clears you have to use the option Daily Worksheet, option A from Ship/Return Activity Menu. Enter the date you want and if the report finds any orders with breakouts for that date a question will be asked, Display report for Orders or Rooms? (O/R). If you answer O the report works as normal and shows all orders for the entered date. If you answer R then the report will show all room breakouts for all orders in time order for the entered date.

Next choose to display equipment or not and if you want it sorted by room or not. If you choose to sort by room then each room will be grouped together in time order.

The report will display each breakout room for the entered date in time order and the time to strike, if it is to be struck on this date. If this room was set before this date, instead of saying SET it will say STAY SET in the ACTION column.
